Duties & Responsibilities
MAIN OBJECTIVES
Carry out the human resources activities to promote positive relationships and to assist with employee well-being including: administration, induction, company benefits, overtime calculation and employee relations.
LEAVE
- Process staff leave.
- Assist employees in the filling out of relevant documentation.
- Update leave information per employee and send to the relevant Operations Managers.
PERSONAL PARTICULARS
- Keep comprehensive and current personal records of each employee countrywide i.e. identity and passport details, medical aid, Pension/Provident Fund details, disciplinary records, performance appraisal records in hard copy and electronically.
TIMESHEETS
- Accurately summarise the time-sheets for each Division, in all branches, on a weekly basis, and distribute to the relevant Operations Manager or appropriate supervisor on a monthly basis.
- Summarise hours worked on a monthly and thirdly basis ensuring accurate records for the averaging of working hours.
- Ensure that all times sheets have been received form all division and all branches
RECRUITMENT
- Assist with drafting of vacancy requirements
- Place vacancies on various platforms
- Screen CV’s for short list
- Organise interviews
- Interview candidates
- Answer or relay any queries regarding the Medical aid scheme to the current Broker
- Assist employees with the process of withdrawing membership of a Medical Aid Scheme.
- Ensure that the payroll is updated with any changes in medical aid contributions
- Advise employees in writing of any changes in their contributions to the medical aid and obtain a signed revised salary slip.
WORKMANS COMPENSATION
- Process all Workman’s Compensation claims countrywide
UIF/MATERNITY
- Assist employees with UIF Claims
MEDICAL AID SCHEME
- Assist employees with the applications to an approved Medical scheme as well as any changes to dependants.
PENSION AND PROVIDENT FUNDS
- Assist employees with the applications to the Pension/Provident Fund as well as any changes to beneficiaries.
- Answer or relay any queries regarding the Pension/Provident Fund scheme to the current Broker.
- Assist employees with the process of withdrawing membership of a Pension/Provident Fund.
- Ensure that the payroll is updated with any changes in Pension/Provident Fund contributions
- Advise employees in writing of any changes in their contributions to the Pension/Provident Fund and obtain a signed, revised salary slip.
PERSONNEL
- Within his/her capabilities, assist employees with personal issues and enlighten employees where there is imperfect understanding of certain issues.
- Serve as counsellor/mediator in minor disputes in the workplace.
- Make available to employees any new legislation or Policies.
- Provide information to staff on personnel policies and procedures, including equal opportunity, anti-discrimination and occupational health and safety programs on request.
- Arrange Communications Committee Meetings and take minutes and distribute to relevant parties.
INDUCTION
- Go through the induction process with the new employee and his/her supervisor.
- Ensure that new employees are supplied with all the necessary documentation on or before commencement of work, including, Conditions of Employment, job description etc.
- PERFORMANCE APPRAISAL
- Organise performance appraisal documentation, to be distributed to the evaluators.
- Compile the counselling meeting schedules in consultation with the relevant managers.
PAYROLL
- Get payroll information together regarding leave, terminations, for National Accountant. Print and distribute payslips and file in accounts office. Keep salary book for Accounts.
DOCUMENTATION
- Ensure that every document issued by HR is returned to the division, has the relevant signatures and is thereafter filed
STAFF COMMUNICATION
- Draft and share staff movements to the relevant employees
